Meeting Pattern Analysis Report

Overview

The Meeting Pattern Analysis report evaluates the effectiveness of your institution’s scheduling practices as they relate to your meeting pattern grid.

There are many ways to filter and slice the data to see how rooms are being used on a high level for the entire institution using several sorting options and a more granular level in places using drill-in capabilities.

The use of this report requires a manual push to run a capacity analysis and will have no results until the analysis is run. 

Access

Once you have requested a capacity analysis service and it is completed, you can access the Meeting Pattern Analysis report from the Capacity Analysis Report in the Report App by clicking the "Meeting Pattern Analysis" button. 

Filters

This report’s filters will inherit those from the initial Capacity Analysis Report, but can be modified independently. The default selection for your institution’s main campus and classroom/lecture room type will be pre-selected upon opening the report, but you can turn it off.

All meeting patterns used by section meetings within the term date range of the capacity analysis selected are available for selection in this report. However, it is important to ensure that the on-grid meeting pattern filter selection does not contain any overlapping meeting patterns. For example, if a MWF 10-10:50 am meeting pattern is selected, then a MW 10-11:15 am meeting pattern should not be selected, or invalid results will be produced.

To manipulate the selection further or turn off the default selection within the report, update the filter to "Include All" or both true and false values. This will allow the dependent filters to include all possible values to be available for selection.

Top Level Metrics

The top set of widgets are dials that represent the top level metrics the Capacity Analysis calculates. As filtering is applied to this report, the widgets will change to reflect the metrics for the filtered set only.

To reveal report definitions, click on the grey bar at the top of the screen. This will alter the view to include definitions that correspond to the indicators displayed.

Scheduling Breakdown by On-Grid Meeting Pattern

This widget details the breakdown of utilization during the selected on-grid meeting patterns. Hovering over each bar and color will display the percent and numeric hours value of its respective category.

On-Grid Hours
Number of Hours scheduled within rooms using the selected on-grid meeting patterns
Off-Grid Hours
Number of Hours scheduled within rooms during, but not by, the selected on-grid meeting patterns. These off-grid meeting patterns conflict with the on-grid meeting patterns.
Off-Grid Waste
Number of Hours wasted within rooms during the selected on-grid meeting patterns due to off-grid scheduling. Off-Grid scheduling that contributes to waste is broken down into 3 categories:
  • Partial Time: represents waste caused by off-grid meeting patterns that conflict with on-grid meeting patterns due to a partial time overlap. For example, the following patterns cause “partial time” waste with the selected example On-Grid Pattern 9:00AM - 9:50AM MWF:
    • 9:00AM - 9:30AM causes 20 mins of waste during the on-grid pattern (without a complement)
    • 8:50AM - 9:10AM causes 40 minutes of waste between 9:10AM- 9:40 AM.
  • Partial Week: represents waste cause by off-grid meeting patterns that conflict with on-grid meeting patterns due to a partial week overlap. For example, the following patterns cause “partial week” waste with the selected example On-Grid Pattern 9:00AM - 9:50AM MWF:
    • 9:00AM-9:50AM M
    • 9:00AM-9:50AM W
    • 50 minutes of weekly waste would be counted in this example, since Friday is not complemented.
  • Partial Term: represents waste cause by off-grid meeting patterns due to a partial term overlap, i.e. the conflicting section meeting does not meet for the duration of the term.
Unscheduled Hours
Number of Hours that rooms included in the selection are not being used for scheduling of section meetings. This is influenced by both the on-grid meeting pattern selection and room selection in the filter pane. I.e., all rooms that are used during at least one of the selected on-grid meeting patterns will be considered available for scheduling and evaluated. The selection can be further narrowed by modifying the room selection criteria in the filter pane. All room hours that are not scheduled during the listed pattern, either by on-grid, or by off-grid meeting patterns, will be counted towards unscheduled hours. (i.e. room A is used by the MWF 9-9:50 am pattern, but not during the MWF 10-10:50 pattern, so 150 minutes are counted as unscheduled during that meeting pattern).
  • This definition changes when section level attributes are manipulated, such as modality etc. If a course level filter is narrowed, unscheduled hours = the hours that are not scheduled by that type of course, not necessarily the number of hours that the room sits empty.

Widget Interaction

  • Left-clicking
    • Left-click any bar to analyze the data up close.

    • To return, simply click "clear selection" in the upper right corner of the widget.
  • Right-clicking
    • Any section on the bar graph will give you the ability to change the grouping mechanism between on-grid meeting pattern, Room Type, Campus, Alternate Campus (PeopleSoft location code), or building.

On-Grid Meeting Pattern Details Table

The On-grid meeting pattern details is a table that shows the scheduling breakdown from the bar chart.

Click on any of the links within the table to open a pop-up window that details scheduling during the selected meeting pattern, broken out by on-grid and off-grid.

Meeting Pattern Utilization Breakdown

You can right-click any of the graph bars to change the grouping mechanism from department to college, division, modality, meeting type, instructional method, or subject. This chart helps compare scheduling practices and utilization across each group.

Section Meeting Details

Switch between Off-grid, Off-grid with waster, on-grid, all or no room to modify the list of section meetings that occur during the selected, on-grid meeting pattern. This list can be used to help isolate violations of the scheduling policy.
